* Searching a hotel

1. How do I find the prices for hotels?

Once you select a city and dates you plan to travel and click on the "Search" button on the left side of the website, availability and applicable prices will be displayed on the hotel list page.

2. How do I search for hotels in a specific area or district of the city?

By clicking on "Search Options" above the "Search" button, more detailed options will be shown immediately. In the section "Preferred Area", a favorite area or district of the city can be selected for more detailed search. "Preferred Area" will not be set up unless a country and a city are selected.

Also you can sort by the specific area after searching for hotels. The option will be shown on the top of the hotel list page. Other options on the menu might be also convenient for you to search for your favorite hotels.

3. How do I search the availability and prices for a hotel that I already know?

If you already know the name of a hotel and want to see its availability and prices, it will be easily done by selecting "Hotel Name" in the "Search Options" area. Once a country and a city are selected, all the names of hotels located in the city will be set up to be selected in the section "Hotel Name".

4. How do I search for hotels with a specific hotel rating or in a specific price range?

"Hotel Class" or "Room Rate" section in the "Search Options" area will be selected optionally for this purpose.

5. How can I find the contact details of a hotel such as telephone number, email address?

After completing your booking on our online booking system, you will receive a confimation email immediately for Instant Confirmation bookings or in a certain time for On Request bookings. Details of the hotel including telephone number, fax number will be found on the confirmation email and also on the voucher which will be presented to the hotel on arrival.

6. May I know availability of requested hotel for requested period first?

We're sorry. We are unable to check availabilities individually for clients and only perform hotel reservations. To book a hotel room, please submit a booking request or send an e-mail to bookings@AsiaHotelPass with the credit card details. After we receive booking request, we will be able to check its availability with the hotel and revert it back to you as soon as possible.
( Note: Guest name and Credit card holder name should be the same. If the names are different, please download the forms and send us by fax or e-mail with its scanned file.)

* Room Types

1. What is the difference between a double room and a twin room ?

A double room has one double size bed for 2 persons and a twin room has two single beds also for 2 persons. Your preference will be requested on your booking and it will be transferred to the hotel through our system. Please ensure that it will not be guaranteed in any circumstances of the hotel, even though the hotel will do their utmost to accommodate your request.

2. How do we accomodate in a room if we are 3 adults?

In general, a triple room will be offered upon availability of the hotel. A triple room has one double bed and one single bed(extra bed), or 3 single beds.

3.How do we accomodate in a room if we are travelling with a child ?

If you select a Double or Twin room although you are travelling with a child(2~12 years old), there will be no extra bed and also no breakfast provided. You will have to pay the extra charge to the hotel directly if the child need an extra bed or breakfasts and they are subject to availability of the hotel. If you like to stay more comfortably with a separate bed for the child, it will be better to select the room type “Triple”.

4. What is semi-double room ?

The room type "Semi double" can be viewed on the hotel list page in some destinations. (e.g. Tokyo, Osaka) This room is a bit larger than a single room, but smaller than a normal Double room. The price is slightly lower than the regular double room, but in fact, it is cramped for 2 adults who want to relax after your daily activity. Nonetheless, some young travellers prefer to stay on this room type to save their budgets.

* Rates

1. Are the rates on your website per person or per room?

The rates on our website are based on per room, per night.

2. Are the rates inclusive of all taxes and service charges?

The rates includes all taxes and service charges, no additional or hidden charges for our services.

3.Is breafast included in the rates ?

For breakfast conditions, its inclusion or exclusion is clearly stated on the rates depending on your destination and hotel rates. When it says “breakfast included” then usually there would be 1 meal for Single, 2 meals for Twin and 3 meals for Triple. If you do have more companies, you need to add breakfast for them at the hotel. (In certain Asian destinations, there might be only one breakfast for one person offered even Twin or Triple room was booked and this information is clearly stated on the rates also.)

* Making a reservation

1. How do I make a reservation online?

You can simply book a hotel room through AsiaHotelPass.com. It is easy to use and confidential. You don't have to waste your precious time and your expense will be saved up to 50~70 % compared with other possible ways.

Many of hotels we provide on the website will be confirmed immediately after you place a booking.(shortly described as "Available" on the web page) Instant confirmation bookings are serviced via our highly advanced XML technology or with pre-payment room allotments negotiated with hotels.

Some bookings are submitted to us "On Request" which means "not confirmed yet". As soon as those bookings are requested, our agents will contact the hotel promptly with the details you provided. It can be confirmed in a short time by the hotel if available and then you will be responded by our agents immediately. However, it may take up to 24 hours depending on a response from the hotel.

Hotels will sometimes provide a special rate or a promotional rate exclusively to us "On Request" based. Please make sure that you will be given the best chance to book a room in a lowest rate if you check both "Available" (instant confirmation) booking rates and "On Request" booking rates.

2. Can I book a hotel by phone?

Yes. One of our specialized agents will make a reservation for your desired hotel on your behalf.

3. Can I make a reservation directly to the hotel?

Our competitive and discounted rates on which you may have an interest are only available through our services and website. If you contact directly to the hotel and book a room for yourself, such a low rate will not be offered on your booking.

4. What if the hotel that I selected is not availble?

AsiaHotelPass always try to offer the first hotel that you basically want to book. However, it is likey that there will be no availability for the hotel as rooms have already been sold out. In case, we will email you and suggest an alternative hotel in terms of location, rating and rate. Our specialized agents will support you to make you feel satisfied in any circumstatnces.

5. What is the latest time that I can make a reservation?

You can book a hotel at least 4 days before your arrival. If you have less than 4 days, you will contact our reservation staffs (bookings@AsiaHotelPass.com) to get help for the booking. We will check a room with the hotel immediately and give a reponse to you as soon as possible. Please make sure that you have to possess your valid credit card for guarantee and payment if a room is available.

6. How can I specify my preferences for my room such as late check-in, non-smoking, high floor?

When you fill in "Guest Details", your special requests can be added in the box "Special Requests". The request will be sent to the hotel directly. Please note that it is not guaranteed, even though the hotel will do utmost to accomodate your request.

* Payment

1. What credit / debit cards are accepted?

Visa and Master card are currently accepted for your reservation. No debit card is accepted for the payment.

2. When will my credit card be charged?

Once your booking is confirmed intantly, the total amount will be charged to your valid credit card shortly after the confirmation. If you request your booking as "On request" to us, any amount will not be charged at the time. But, you are required to give your credit card information to us for gurantee of your booking request and future payment upon your booking confirmation. We will contact the hotel at once and check the availability as soon as you submit a booking request. If the hotel room is available, you will be notified through a confirmation email(voucher attached) as well as the amount will be charged to your credit card.

Please ensure that AsiaHotelPass holds to an Advance-Payment Policy. You should not pay the amount to any hotel directly as well as you are not entitled to ask the hotel to issue a receipt for you.

3. How do we make your booking secure?

Your personal information and credit card details are sent to us through our secure web server. We adopt "Secure Socket Layer(SSL)" technology as the industry standard to fully encrypt all your personal information and credit card details. Our SSL certificate has been issued by VerySign.

4. I do not have a credit card. Can I still book a room?

We're sorry. To make a reservation through AsiaHotelPass.com, your valid credit card is essential. It should be provided to us for gurantee of your booking as well as for payment for your stay.

5. Do I need to pay only in US Dollars?

Yes. Your payment will be settled on a US Dollars base. But it will be charged in your own currency, converted from US dollars. (Reference) For your convenience, you can view the hotel rates in your desired currency on Currency Converter. However, it should be noted that the rates appeared on the converter might be different from the actual amount charged in US dollars.

* Booking Confirmation

1. What happens when I book a room online?

Once you select a hotel displayed as "Available" on the page and proceed with the booking, it will be confirmed instantly and the total amount will be charged to your credit card in a while. A confirmation email is automatically sent to your email address provided. On the confirmation email, you can check all your booking details including hotel contact numbers, your personal information, dates of arrival and departure, and payment information.

Otherwise, if you submit a booking request for a hotel displayed as "On Request", it will not be regarded as instantly confirmed reservation until we notify you of confirmation. At the time of booking, only pre-authorization will be made by our bank or credit card company for the reservation gurantee. Upon receiving your reservation request, our agents will check availability of the hotel. If available, we shortly send you a confirmation email and then the payment will be on the process.

2. What is a HOTEL VOUCHER?

Once the payment of your booking is completed through our secured payment system, you will be sent an email with a Hotel Voucher attached. The voucher is provided on .pdf file format. If you do not have "Adobe Reader" installed on your computer and do not want to install it, you can also make a printout from "My Page" at AsiaHotelPass.com.

The voucher should be presented to the hotel reception on check-in to verify your booking. When you print out a voucher, please make sure that all the details on the voucher are written correctly as you made the reservation.

3. I made a reservation through AsiaHotelPass.com without any failure but I did not receive a confirmation email. What should I do?

At the same time you complete your booking, a confirmation email will be automatically sent to your email address, regardless of instant confirmation booking or on-request booking. If you cannot receive any email from AsiaHotelPass.com, please check out your email account in Junk or Spam mailbox at first. The email from us may be transferred to the Junk or Spam mail box for uncertain reasons. Nonetheless, if you cannot find any email, you can view your booking details in "My Booking" on the top right hand side of AsiaHotelPass.com. You can also print out a voucher or send us your request for a amendment or cancellation of the booking in "My Booking".

* Change or Cancellation of a reservaton

1. How can I retrieve my booking and view the details?

After submitting a booking, you will be able to retrieve your booking on the "My Booking" menu at AsiaHotelPass.com
All the details of your booking will be shown on the page and you can also request for a amendment or cancellation if you need.

You will also see your booking details on the confirmation email we send you after confirmation.

2. How do I change or cancel my booking?

On the "My Booking" menu, amendment/cancellation can be made until 7 days before your check in date. Once your hotel has been confirmed and they are made until 1 week before check-in date, there would be no charge levied for amendment made once under your circumstances. However, if there are any changes made more than 2 times or any cancellation made, a penalty of US$15 will be charged per room. In case of amendment or cancellation made within 1 week of check-in will result in a penalty of 1 night charge. Our reservation staff will contact you within 24 hours once you request it. If it is urgent, please contact our customer support (support@AsiaHotelPass.com)

3. What if my itinerary at the destination has changed?

If you want to cancel or amend at the destination during your stay, you are also required to contact a local office and essentially receive a signature of your hotel staff in charge and a folio (certificate), where “No Charge on Unused Nights” is written. Please send us the document by email or fax. Then we will refund the relevant amount after deducting a service charge of USD 15 per room. However, it is true that thesedays, many of worldwide hotels do not admit the refund for the rest of the nights.

* Hotel Policies

1. What are the check-in and check-out times of a hotel?

Check-in time at most hotels is generally after 14:00. But it relatively depends on the hotel.
Check-out time at most hotels is generally before 12:00. We recommend you that you should check the check-in or check-out time on your arrival at the hotel.

2. I will be arriving earlier/later than the standard check-in time. Can I still check-in?

If you arrive at the hotel ealier than the check-in time, you would ask a receptionist whether you can check-in at the time. It is subject to the hotel policy or room availability at the time. Although you are not allowed to check-in earlier, you can ask them to keep your luggages and go for a stroll for a while.

* Emailing Problem

1. I've emailed to support@AsiaHotelPass.com or bookings@AsiaHotelPass.com. However, the email just returned back to me without any success. How could I email to you?

It happens sometimes because we have strong fire walls in the mail server to protect Spams or Viruses. Please try with asiahotelpass@gmail.com It will work well and we are always checking emails from customers on real time. You can of course call us 82-2-2262-5162 (Seoul, South Korea). But it is true that you will have to pay for a internatinal call.

2. I made a reservation through AsiaHotelPass.com without any failure but I did not receive a confirmation email. What should I do?
